What does managed IT support actually include?

Managed IT support is a fixed monthly fee, usually per user, covering your helpdesk, monitoring, patching and security tooling. Projects, hardware and licences are normally billed separately.

The short answer

Managed IT support swaps unpredictable hourly bills for a fixed monthly fee. Instead of ringing someone when a laptop dies, you have a provider already watching your systems, applying updates and answering your team directly.

The phrase is not defined by anyone, so two quotes using it can describe quite different things. That is worth knowing before you compare prices.

What is nearly always included

Almost every agreement covers a helpdesk your staff can contact, remote monitoring that flags a failing disk or a server running out of space, patching for operating systems and common applications, and antivirus or endpoint protection across your machines.

Most also include basic account administration: setting up a new starter, removing a leaver, resetting passwords.

Ask for these in writing

  • Response times and fix times, stated separately
  • Whether on-site visits are included, and how many
  • What counts as a project rather than support
  • Who owns the licences and the documentation
  • What happens to your data if you leave

What is usually charged separately

Hardware is almost never included. Microsoft 365 and other licences are typically billed at cost or with a small margin. Anything that counts as a project, such as a server replacement or an office move, sits outside the monthly fee.

None of that is unreasonable. It only becomes a problem when it is discovered after signing.

How it is usually priced

Most providers price per user per month, some per device. Per user is normally fairer once people carry a laptop and a phone. Expect the number to vary with how much security tooling is bundled in, whether on-site time is included, and how quickly you need someone to respond.

If a quote is markedly cheaper than the others, the difference is usually in the exclusions rather than the service.

Common questions

Is managed IT support worth it for a small team?

It usually starts to pay off somewhere around ten staff, or sooner if your work stops entirely when systems are down. Below that, some businesses are better served by a smaller support agreement.

Can we keep our own IT person?

Yes. That arrangement is called co-managed IT: your person keeps the relationships and the day-to-day, and the provider covers out of hours, holidays and the specialist work.
