The Wi-Fi that dies the moment you sit down in the far meeting room
Everyone recognises it. You dial into a client call from the meeting room at the far end of the building, and the signal that was fine at your desk drops to nothing right when it matters. That room isn’t unlucky – it’s just further from wherever the Wi-Fi happened to get installed than anywhere else in the building.
A network built around where the people actually sit doesn’t have a dead spot with your name on it. It’s not a bigger router or a stronger password – it’s placement, planning and kit chosen for the job, not for whatever was easiest to install on the day.
Why guessing at placement fails
Most office Wi-Fi gets installed the way most office cabling gets installed: an access point goes wherever there’s already a socket or a run of cable nearby, not necessarily where the people who need signal are sitting. It works fine near the router. It gets patchy by the third office along, and by the far meeting room it’s given up entirely.
A proper site survey fixes that before a single access point goes on the wall. It means walking the building, seeing where people actually work – desks, meeting rooms, the warehouse floor, the corner office nobody remembered when the plan was drawn up – and working out how signal behaves through your specific walls, floors and equipment, not a generic floor plan. Thick stud walls, metal shelving and lift shafts all behave differently, and the only way to know for certain is to check on site.
The result is a plan for where access points go and how many you need, based on how your building actually behaves, not a guess based on where the cabling used to run.
Coverage that holds up
Good coverage isn’t one powerful access point trying to reach every corner of the building – it’s several access points working together, each covering its own patch, handing you off cleanly as you move between them. Walk from your desk to the far meeting room with a laptop open, and the connection should follow you without you noticing the switch.
That handoff is where cheap or badly planned Wi-Fi falls down. A phone or laptop can show full signal and still struggle to actually do anything, because “connected” and “usable” aren’t the same thing – a device can be technically on the network and still lose the call. Proper planning accounts for how many people are in a room at once, not just how far the signal reaches, so a packed training session or a busy open-plan floor doesn’t behave differently to an empty office at seven in the morning.
Guest Wi-Fi that is actually separate
Visitors and contractors need internet access. They don’t need access to your server, your shared drives, or anything else your team relies on to work – and on plenty of networks, they end up with it anyway, because guest and business traffic were never properly kept apart.
VLANs are how we stop that happening. They split your network into separate lanes that share the same cabling and access points but never mix – guest devices get out to the internet and nowhere else, while your business traffic stays on its own lane, invisible to anyone sitting in reception with a laptop. Where it isn’t done properly, a guest device joins the same network as everything else in the building, and it doesn’t take anything malicious for that to cause a problem – one infected laptop or an unpatched phone on the wrong network can spread trouble onto systems it was never supposed to reach.
Switching in the office
Wi-Fi is only the visible half of the network. Underneath it sits the switching – the kit under desks and in the comms cupboard that actually carries traffic between access points, printers, desk phones and anyone plugged in directly. Get that layer wrong and a full-strength Wi-Fi signal still won’t fix a network that’s slow or dropping out, because the problem was never the signal in the first place.

Structured cabling
Wireless still depends on wired cabling to carry traffic to and from every access point, and cabling done properly, once, is cabling nobody has to think about again for years. Cabling done badly – runs added piecemeal over time, no labelling, no plan anyone still remembers – turns every future change into an afternoon spent tracing which cable goes where before any actual work can start.
Structured cabling means every run is planned, labelled and terminated properly from the outset, so adding an access point, moving a desk or troubleshooting a fault is straightforward rather than an exercise in archaeology.

Plainly: we do not put UniFi on critical or storage switching – the switching that sits under your servers, your storage and your backups. That’s a different job to office and Wi-Fi switching. How is this different from our internet connection or a leased line?

Do we really need a site survey for a small office?
Even a small office has a far meeting room, a stockroom or a corner desk that’s further from the router than everywhere else. A survey doesn’t need to be a lengthy exercise – for a smaller space it’s often a quick walk-through – but skipping it is exactly how avoidable dead spots happen.
Can visitors use the same access points as our team, or do we need separate hardware?
The same access points, generally – guest and business traffic run over the same Wi-Fi and cabling but are kept apart using VLANs, so a visitor never touches the network your team relies on. Separate hardware usually isn’t necessary.
If UniFi is good enough for the rest of the office, why not use it for critical switching too?
Because it’s a different job with a different level of risk attached. Critical and storage switching sits under systems that can’t be allowed to drop, and it needs kit chosen and supported specifically for that – not the same range we use for connecting desks and access points, however well that range does its own job.
How long does putting this right actually take?
